Automate Vault Distributions by Name or Unique Identifier

Easily automate distributions of multiple files into multiple vaults by matching the file name to vault name. Or by matching a unique identifier to a vault field

  1. Navigate to Vault Manager in the lower left hand corner of the menu bar, and then select the + Vault distributions button in the upper right hand corner

  2. Click the plus button in the upper right hand corner of the Distributions tab, or resume a draft of a distribution you were previously working on from below.

  3. In the pop up window, use the drop down menu to select which Management Group the distribution is being sent from, if you are a part of more than one group, and then choose a name for your distribution. One you have made these decisions, select Create.

  4. On the right hand side, choose what system you will use to match the files added.
    1. In the upper section, you choose whether to match based on the beginning (prefix) or end (suffix) of the File Name.
    2. In the lower section, you choose whether to match to Vault by either the Vault Name or Vault fields (an added field which can be customized and set to something different than the Vault name itself).

      In this example, we will match by file name to vault name. The files in the example screenshots have names with a prefix that matches the name of the vault.

  5. Once you have set up how the files will be automatically matched to the correct vaults, you can drag and drop your files into the box on the left. Or you can click the box, to upload. After you upload, click Apply Auto-Assign in the lower left hand corner.

  6. From there, confirm that the files have matched to the correct vault, decide if you want to add a watermark (the stamp icon) or prevent download (the dashed document icon) for any files via the buttons to the far right of each individual file. Then choose Start Distribution to send the files to the individual vaults!

Note:

If you don't want to match files by vault name, you can choose to match to vaults by "Vault Fields" and you can use a unique identifier in the file name to match a unique identifier in the vault fields.
